ProValidus Health is a healthcare IT staffing firm specializing in direct-hire placement of certified EHR analysts and healthcare IT professionals. This Privacy Policy describes how we collect, use, and protect information in connection with our website, recruiting portal, and candidate intake process.

2. Information We Collect

When you submit your information through our candidate intake form, we collect:

• Full name and contact information (email, phone)
• Professional background: current title, employer, years of experience
• EHR certifications and module specializations
• Employment preferences: target salary, availability, work location / remote preference
• LinkedIn profile URL (optional)
• Any additional notes you choose to provide

We do not collect Social Security numbers, date of birth, financial account information, or other sensitive personal identifiers through the intake form. Background check authorization is handled separately and only at the offer stage.

3. How We Use Your Information

Information collected through this site and our portal is used exclusively for:

• Evaluating your fit for direct-hire healthcare IT roles with our client organizations
• Presenting your anonymous profile (PII redacted) to clients during the matching process
• Communicating with you about open roles, interview scheduling, and placement status
• Maintaining our internal candidate database for ongoing placement opportunities
• Sending placement check-in communications after a successful hire

We do not sell, rent, or share your personal information with third parties for marketing purposes. Your information is only shared with specific client organizations when you have been matched to an open role and you have been informed of the submission.

4. Data Security

Candidate and client data is stored in a SOC 2 Type II compliant database platform with row-level security enforced. Portal access requires authenticated login. All data is transmitted over HTTPS.

Internal portal users (recruiters) access only the data necessary for their role. We do not store full resumes or sensitive documents unless explicitly provided and acknowledged.

5. Candidate Profile Sharing

When presenting your background to a client, we share a redacted one-pager that omits your full name and contact details. Your identity is only disclosed to a specific client organization after you have given verbal or written consent to proceed with that submission.

6. Data Retention

Active candidate profiles are retained while you are engaged in the placement process or available for future opportunities. If you wish to be removed from our database, contact us at samone@provalidushealth.com and we will delete your record within 30 days.

Placement records (after a successful hire) are retained for up to 3 years for warranty and billing compliance purposes.

7. Your Rights

You have the right to:

• Request a copy of the information we hold about you
• Correct inaccurate or outdated information
• Request deletion of your profile from our system
• Opt out of future outreach at any time by replying to any message we send

8. Cookies & Analytics

The ProValidus Health website does not use third-party advertising trackers or behavioral analytics cookies. Session state in our recruiting portal is maintained via authentication tokens stored in browser local storage, which are cleared on logout.

9. Changes to This Policy

We may update this Privacy Policy as our practices evolve. Material changes will be communicated to active candidates and clients by email. Continued use of the site or portal after an update constitutes acceptance of the revised policy.
